The Office of the Registrar at U of T Mississauga delivers registrarial services to support U of T Mississauga's academic goals and U of T priorities in the areas of student information, interpretation of policies, and innovation of registrarial interactions. Reporting to the Assistant Registrar, Campus Scheduling and Examinations, the Scheduling Officer provides support for the course scheduling process and is responsible for scheduling all final exams for U of T Mississauga, providing support and developing expertise in scheduling and best practices for all classroom and exam scheduling and room utilization. The Officer is responsible for collecting, researching and analyzing classroom data and preparing statistical reports on classroom utilization for each academic session. The Officer develops schedules that are optimized for student success and efficient use of resources by fully utilizing the existing scheduling application (Infosilem), the university's student information system (ROSI) and all relevant research about student success in Strategic Enrolment Management (SEM). 

The Scheduling Officer assists with the management of the U of T Mississauga’s Online Room Booking System (ORBS) and Course Information Submission system (CISS), including access management, technical support, and information management. The Officer is responsible for producing a conflict free examination schedule and assisting in the coordination and administration of all U of T Mississauga undergraduate final examinations.

Your responsibilities will include:

 

  • Interpreting guidelines and protocols to determine scheduling priorities
  • Determining priority of booking requests for various spaces on campus
  • Analyzing and documenting room requirements for course delivery
  • Liaising with contacts to resolve room booking conflicts
  • Verifying the accuracy and completeness of information
  • Resolving issues that arise while examinations are being written and escalating problems as required
  • Conducting detailed data analysis to inform management decision making
  • Preparing complex data modelling scenarios to support course and/or exam timetables decisions

 

Essential Qualifications:

 

  • Bachelor's degree or equivalent combination of experience and education
  • At least four (4) years' experience in a university or post-secondary environment
  • Scheduling experience and an understanding of scheduling processes
  • Extensive experience with manipulation and analysis of data, writing queries, working with databases and preparing statistical presentations and reports
  • Demonstrated experience meeting deadlines in a fast paced, high volume environment with a focus on attention to detail and accuracy
  • Ability to interpret and analyze data (enrolment/classroom/seat utilization, etc) and present clear results in terms of resource needs
  • Excellent communication skills (written and verbal) with the ability to employ good judgement, professionalism and diplomacy to negotiate limited resources and to secure cooperation from a wide range of users and stakeholders with competing requirements
  • Expertise in the use of MS Excel at an advanced level, SQL, Student Information Systems and scheduling software
  • Proven ability to deal effectively with complex tasks and to work with specialized applications
  • Demonstrated initiative and organizational skills with the ability to work well under pressure and meet competing priorities
  • Ability to work independently and as part of a team
