Under the direction of the Director, Access Programs and Registrarial Services, the incumbent is a valued member of the Woodsworth College Registrar’s Office academic advising team. The incumbent is responsible for in-person and email advising, facilitating admissions and assisting students with navigating fees, petitions, and other rules and regulations in the Faculty of Arts and Science (FAS). Specifically, the incumbent coordinates the admissions and advising components of two programs: The Visiting Student Program and the Diploma to Degree Program. This role is also responsible for managing the transfer credit process for Diploma to Degree students admitted to degree studies, maintaining articulation agreements with college partners and managing communications and outreach for prospective and current students in both programs . The incumbent must maintain student records and achievement data as well as produce corresponding reports. In addition, the incumbent is the primary contact for college partners, and other offices at the University of Toronto and for responding to general and detailed inquiries from students, staff, other institutions and the general public.

Your responsibilities will include:

 

  • Advising students on educational plan, program and/or course requirements by probing and providing a range of options and possible consequences
  • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
  • Reviewing and approving changes to degree requirements for exceptional cases
  • Facilitating educational workshops and seminars
  • Reviewing and assessing admissions application
  • Applying established standards when administering a process for consistent evaluation of transfer credits
  • Developing content for marketing and/or promotional materials
  • Resolving issues within the scope of the role and escalating problems as required
  • Providing proactive support to individuals in distress and making referrals to specific university services

Essential Qualifications:

 

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four (4) years of recent and related experience advising and/or counselling skills students in student service and/or academic advising role at a post-secondary education institution
  • Experience interpreting and applying University of Toronto policies and procedures
  • Experience with ROSI, with advance skills.
  • Experience advising students from diverse backgrounds
  • Experience conducting presentations and information sessions
  • Experience preparing reports
  • Experience updating websites
  • Experience with Slate
  • Advanced advising and/or counselling skills with a demonstrated ability to problem solve
  • Excellent customer services skill, with a strong commitment to service excellence
  • Demonstrated advanced skills in Microsoft Office Suite including Word, Excel, Access, and Powerpoint
  • Must be able to cope with a constantly changing and complex set of academic regulations
  • Accurate keyboarding skills
  • Superior oral and written communication skills with excellent interpersonal skills, showing initiative and good judgement, and also the ability to work cooperatively and be an effective team member
  • Must have sound judgment and ability to deal with challenging student issues, and a commitment to access and diversity is required
  • Demonstrated attention to detail with strong organizational skills
