Your Opportunity:
Under general direction of the Chief Administrative Officer, the incumbent is responsible for a full range of academic human resource services and planning at the John H. Daniels Faculty of Architecture, Landscape and Design (“the Faculty”). The Academic HR Officer provides administrative support to the Dean and other academic administrators with respect to matters associated with tenure stream, non-tenure stream and teaching stream faculty. The incumbent reviews, advises and prepares correspondence on behalf of the Dean in matters relating to the employment of academic staff; provides advice on the interpretation and application of HR policies and procedures as they pertain to academic searches, appointments, promotions, tenure, leaves, salary administration and retirement options to ensure compliance with University policies and procedures.
The incumbent facilitates the academic salary administration process for the faculty including PTR calculations. The Academic HR Officer manages databases related to academic activities and prepares complex statistical reports.
Working closely with Central HR’s Labour Relations team, the incumbent provides technical advice and expertise, locally at the Faculty, in relation to the interpretation and administration of collective agreements for CUPE 3902, Units 1, 3 and 5 Collective Agreements governing teaching assistants, course instructors, Sessional Lecturers and Postdoctoral Fellows, as well as the interpretation and application of policies and procedures as they pertain to Research Associates.
Additionally, the incumbent takes on new tasks or projects, assumes responsibility for on-going projects and undertakes research on a wide variety of issues and topics related to academic human resources issues in Architecture, Landscape Architecture, Urban Design, Art and Forestry. The incumbent is also responsible for the planning and implementation of projects related to the improvement of the Faculty’s academic HR processes and the quality of faculty data; and for acting as the key HR contact on various databases/software utilized for academic appointments, annual reviews, renewals and promotions.
The responsibilities of the incumbent continuously evolve and they are flexible and responsive to the given priorities of the day and willing to work collaboratively and cooperatively in a dynamic environment. The incumbent uses initiative, strong judgment and analytical skills in handling inquiries independently or referring them appropriately. As a representative of the John H. Daniels Faculty of Architecture, Landscape and Design, the incumbent is exercises a high degree of sensitivity, responsiveness, tact, and confidentiality regarding sensitive human resources issues.
This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
Qualifications:
EDUCATION:
Bachelor’s degree required, or equivalent combination of education and experience.
EXPERIENCE:
Three (3) years of recent and related administrative experience in a University setting. Advanced academic HR-related knowledge, including related university policies and procedures and an understanding of the University's organizational structure, including its governance. Experience interpreting and advising on academic policies and procedures. Solid understanding of workplace equity and diversity issues, including demonstrated ability to review, develop and implement policies for compliance. Demonstrated project management experience in a complex, multi-stakeholder environment. Sound knowledge of collective agreement interpretation and administration.
SKILLS:
Proficient computer skills, including MS Office (Outlook, Teams, Word, Excel, Access, PowerPoint), and Zoom demonstrated experience working with HRIS, Success Factors, and academic activities management databases.
OTHER:
Strong research, writing, communication, presentation and interpersonal skills; ability to work with academic administrators and others in a manner that facilitates cooperation; ability to work independently with a high degree of initiative, discretion and tact; ability to work under pressure; superior organizational skills in planning and project management; flexibility and problem solving orientation; well-developed data gathering and data analysis skills; considerable interpersonal sensitivity and diplomacy required.
