About us:

The Operations unit in the University Registrar's Office is responsible for providing advice and support to academic divisions and Strategic Enrolment Management on key processes and systems to support the student experience. These include processes and systems related to admissions, student financial assistance, transcripts and related processes. The Operations unit manages, monitors and evaluates these systems and works with stakeholders across the university to recommend and advocate for system enhancement. This unit is the key central university resource on student information system matters including admissions, financial aid, records, registration and related functions. The Operations unit also provides direct technical and business process support to other Strategic Enrolment Management (Student Recruitment, Admissions and Financial Aid) to ensure the smooth functioning and continued development of technical systems supporting admissions and student records.

Your opportunity:

Under the direction of the Assistant Registrar, Admission Systems, and in close collaboration with the admission systems team, the Admissions System Analyst & Coordinator will work in partnership with the University Registrar’s Office, University Admissions & Outreach, and various University divisions to coordinate and implement system support for admissions processes. The incumbent collaborates with staff to collect operational requirements; design, develop, map, and document business processes and systems; test and implement new or improved systems/features; review and analyze relevant data to recommend enhancements to processes and/or improvements to systems, with the goal of improving the admissions workflow and client service. This position serves as a technical resource on admissions and enrolment process to other IT staff and for functional users of admissions systems in the University Registrar’s Office and University Admissions & Outreach. The incumbent is also responsible for gathering user input and for organizing the testing, implementation, and training for systems locally.

Your responsibilities will include:

 

  • Advising clients and technical subject matter experts on best practice for documenting system requirements
  • Analyzing and documenting business requirements
  • Assessing needs and contributing to the development of business systems
  • Planning the implementation of new business system processes
  • Writing complex specifications based on system requirements
  • Training end-users on procedures and the use of supported IT systems
  • Serving as a resource on specific issues to a group of specialists

 

Essential Qualifications:

 

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum five (5) years, preferably in the field of admissions, information technology, and system design
  • Demonstrated experience working in systems development, including ability to lead others through significant change
  • Expert knowledge of Technolutions Slate platform
  • Excellent analytical and problem-solving skills; ability to understand, analyze and improve complex administrative processes, to assess options and possibilities and to plan, develop and implement complex IT technology and systems
  • Excellent understanding of relational database systems, preferablywith student information systems and University of Toronto systems (ROSI); ability to write SQL queries, reports, and assist in the development of applications; solid understanding of website and systems architectures; thorough understanding of web-basedclient/server technologies
  • Must have excellent organizational and time management skills and strong communications skills in order to communicate, persuade, and present technical and non-technical concepts to persons with both strong and limited technical backgrounds at all levels of the organization

USW Pay Band 14 -- $88,290 with an annual step progression to a maximum of $112,911. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
