Description:

The Office of the Registrar and Academic Services (RO) supports the academic mission of the Rotman School by providing comprehensive enrolment management services to members of the School’s community, including recently admitted and current students, faculty, and staff. Within a framework of the University of Toronto (the “University”) and the Rotman School the RO is committed to providing a high standard of accurate and timely service in a fair, friendly, and comprehensive manner. The RO serves approximately 1400 students in 9 professional master’s programs.

 

Under the general direction of the Director, Academic Services and Registrar (the “Registrar”), the Associate Registrar, Operations, Records and Enrolment ensures the smooth operations of the unit by providing managerial oversight to the enrolment and records and front desk teams, including course evaluations, complex student progression cases, academic integrity and the academic appeals processes. In addition, this position plays a lead role in the development of student communications strategies that are responsive to student needs and feedback and provides leadership with the RO’s use of Salesforce CRM to optimize student service and success. The Associate Registrar works together with the Registrar in the development of strategic plans for service and system improvements and assumes additional leadership responsibility and administrative oversight for the department in the absence of the Registrar.

The Associate Registrar has a deep understanding of the challenges the Rotman graduate programs face in delivering professional student support, and the complexities and trade-offs involved in meeting the needs of the students, the faculty and the University.  This position works with and through all groups to build and maintain leadership in the provision of graduate business education. The incumbent requires exceptional negotiating, influencing and communications skills, coupled with an ability to build strong relationships with students, faculty, staff and alumni to represent the Rotman School within and outside the University. 

 

EDUCATION:
University degree required; graduate degree preferred (i.e. education) ; or an equivalent combination of  education and experience

 

EXPERIENCE:
Minimum five (5) years of recent, relevant experience at a senior level in a university environment. At least two (2) years’ experience in progressive management positions within a unionized environment.  

professionals.  Knowledge of the University’s Code of Behaviour on Academic Matters required. Knowledge of the University of Toronto’s academic policies and procedures. Experience with managing complex student academic progression cases essential. Experience supervising staff, preferably in a unionized environment. Experience in conflict resolution and crisis management, experience providing effective advice and counsel to a wide variety of individuals including senior management, and advocacy skills. Experience with increasing operational efficiencies and student communications highly desirable.

 

SKILLS:
Superior oral presentation and written communication skills; strong strategic planning skills; sound

financial management and budgeting/forecasting skills; excellent staff management, team leadership, and conflict resolution skills; the ability to align operations to support the goals of faculty, staff and students. Excellent reporting and presentation/public speaking skills; highly developed and proven problem-solving and facilitation skills in the resolution of student issues; excellent organizational skills. Ability to exercise sound judgment, tact, diplomacy and persuasion. Must be able to develop and foster partnerships, deal effectively and professionally with people at all levels and work collaboratively. Given the large number and complex nature of the activities of the role, a high level of strategic planning and managerial experience is required, both in terms of individual functions and Faculty and University wide objectives.

 

OTHER:
Ability to maintain confidentiality is essential in addition to professionally dealing with various contacts in all situations with sensitivity, discretion, tact and diplomacy. Excellent time management/organizational skills; initiative; proactive; must work well under pressure; superior judgment required. Ability to develop cooperative working relationships within Rotman, the School of Graduate Studies, and central University academic support offices (e.g. Health and Wellness, Accessibility Services, Academic Progress and Support). Must be able to handle conflicting priorities and deadlines. Ability to work under stressful and difficult conditions. Ability to work independently and as part of a team. Demonstrated problem solving abilities.

 

This is a 1 year term opportunity with the possibility of an extension.
