The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from emergency medicine, addiction medicine, palliative care, Indigenous health, and more.

As the Clerkship Coordinator, you will play an instrumental role in supporting the implementation, and evaluation of the Clerkship component for DFCM (years 3 and 4). You will be entrusted with a wide variety of key administrative tasks that require exceptional attention to detail, strong communications skills, adaptability to changing circumstances and various learning technologies within an unpredictable, fast paced environment. You will be well organized, exercise good judgement in a variety of situations and foster positive relationships with various stakeholders in order to ensure consistent and efficient operations.

Your responsibilities will include:

 

  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Determining logistical details and activities for events and/or programming
  • Coordinating rotation schedules
  • Providing detailed information on data analysis findings to stakeholders
  • Analyzing data summary reports on programs and services
  • Maintaining course information on student information systems
  • Fostering positive relationships with stakeholders
  • Taking and distributing meeting minutes

 

Essential Qualifications:

 

 

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two (2) years relevant experience, preferably in a University, teaching hospital or comparable environment
  • Experience in providing administrative support to an education program
  • Experience providing committee support (including scheduling meetings, minute taking, booking rooms, coordinating agendas, materials and follow up items)
  • Experience coordinating the logistics of events, workshops and/or seminars
  • Experience managing and analyzing databases and generating reports
  • Experience supporting multiple projects (i.e. tracking project progress, deadlines, providing updates)
  • Experience fostering and maintaining relationships with a variety of stakeholders
  • Experience independently drafting correspondence
  • Advanced proficiency in MS Office Suite, survey tools and content management systems
  • Ability to interpret requirements and recommend changes for improvements to processes and procedures
  • Ability to collect and analyze data in order to create meaningful reports
  • Superior critical thinking, organizational, interpersonal and time management skills
  • Ability to exercise initiative, tact, discretion, problem‐solving skills and to work under pressure to meet deadlines
  • Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
  • Ability to work well independently but also as part of a team
  • Ability to work professionally with confidential information
  • Must have strong communication skills (oral and written) that demonstrate effective and accurate relay of information for knowledge translation
  • Customer service and solutions oriented
