With over 600 faculty and 500 students, the Institute of Medical Sciences (IMS) was established to foster education and scholarship in the Clinical Departments of the Faculty of Medicine. We specialize in translational research with a strong emphasis on bench-to-bedside clinical applications, and we are a graduate unit of choice for MDs seeking training as a clinician investigator. Our graduates have been appointed to instrumental positions as academic and health care professionals in universities, government and private industry.

As Curriculum & Education Administrator, you will work closely with IMS Graduate Coordinators and Chair of IMS Curriculum committee to coordinate the review, development and evaluation of all graduate courses within our Institute. You will identify needs and create job postings for curriculum related Human Resources positions, prepare contracts and process payroll. Drawing upon your strong communication and organizational skills, you will coordinate projects and event tasks. Your proven digital fluency coupled with your keen interest in quality improvement initiatives will contribute to our ongoing success.

Your responsibilities will include:

 

  • Providing detailed information to students on program and course requirements
  • Scheduling appointments for prospective students, applicants, and current students to address individual needs. Scheduling committee meetings and troubleshooting timetabling conflicts
  • Managing the continuous calendar for curriculum related activities, ensuring timely executionof each academic semester
  • Coordinating event logistics, including the Ori Rotstein Lecture in Translational Research, the Healthcare Innovation Challenge, and IMS Scientific Day
  • Coordinating the recruitment of teaching assistants, sessional lecturers and course instructors
  • Monitoring accounts for projects and programs
  • Administering new course and guest faculty evaluation systems, collect key performance indicators regarding courses and analyze course evaluation data to identify trends, and communicate findings to relevant stakeholders
  • Preparing and reviewing minor modification forms ensuring all University academic policies are upheld

 

Essential Qualifications:

 

 

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum two years of related administrative experience, preferably in a University or post secondary environment
  • Demonstrated experience coordinating academic programs, including monitoring student progress, supporting course enrolment, coordinating timetables, and coordinating course evaluations
  • Experience providing committee support and coordinating events
  • Experience maintaining databases and drafting and editing content (handbooks, newsletters and websites)
  • Experience monitoring and maintaining project and/or program budgets
  • Experience processing payroll for teaching assistants and sessional lecturers
  • Advanced proficiency with MS Office Suite, survey tools (Microsoft Forms, Survey Monkey), student information systems (ROSI/ACORN), learning management systems (Quercus), content management systems (Drupal), and HRIS
  • Excellent communication (verbal and written), interpersonal andcustomer service skills, interacting with people of diverse backgrounds
  • Must have excellent organizational skills; demonstrated diplomacy, judgement, and strong initiative required
  • Must have strong attention to detail
  • Ability to deal professionally and tactfully with a high volume of public inquiries
  • Ability to maintain strict confidentiality; ability to multi-task and meet deadlines with frequent interruptions; ability to work on own initiative independently but also collaboratively within a team
