Your opportunity:

Reporting to the Registrar & Assistant Dean, Office of the Vice-Dean Programs, the Event Coordinator will support all events run by the Office of the Registrar and Students Services (ORSS) within the Faculty of Kinesiology and Physical Education. These events include, but are not limited to, graduation receptions, recruitment events, mentor appreciation activities and student services events. The Event Coordinator will coordinate and plan all logistics (for example catering, AV, space etc.) and other arrangements for related events. Under general supervision from the Registrar, the incumbent develops, coordinates and executes events plans, critical paths and materials for all ORSS events. The ideal candidate will be a motivated self-starter with impeccable organizational and planning skills and great enthusiasm and passion for event coordination and planning. You will work as part of a team to deliver these events, both within and outside the University.

Your responsibilities will include:

 

  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Conceptualizing, organizing and executing event activities
  • Overseeing the implementation of event plans and activities
  • Determining logistical details and activities for events and/or programming
  • Developing content for marketing and/or promotional materials
  • Analyzing client needs and making recommendations on event logistics and options
  • Collaborating on cost estimates
  • Resolving issues that may occur during events and escalating problems as required

 

Essential Qualifications:

 

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum three years of experience in event coordination and logistical planning
  • Minimum three years of experience in planning events with an academic focus, and experience working with students and faculty
  • Strong organizational and time management skills
  • Ability to multitask while adhering to strict guidelines
  • Strong problem-solving skills; high level accuracy and attention to detail
  • Excellent communication (written and oral); excellent interpersonal skills
  • Demonstrated computer skills, including advanced skills in Word, Excel, Access, PowerPoint, and Content Management.

Note: This is a hybrid position that requires on-site presence three days per week, with additional days on-site as needed, depending on event requirements.

Pay Scale Group & Hiring Zone:
USW Pay Band 10 -- $70,844. with an annual step progression to a maximum of $90,595. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
