The University of Toronto Scarborough has been a leader in co-operative education and work integrated learning (WIL), for 50 years. Co-op and WIL give students an opportunity to apply skills learned in the classroom, and to expand their knowledge through related work experience. The Department of Arts and Science Co-op is responsible for preparing over 3000 undergraduate students from 58 academic areas to compete for paid co-op work term opportunities. The department is also responsible for engaging industry partners who provide these work terms. A coordinated effort among the stakeholders of student, employer, and university co-op programming contribute to the development of well qualified graduates who are prepared to assume a productive role in society. Your opportunity:

The Events Coordinator, Industry Engagement will be the main contact for planning and executing events that bring industry experts, such as employers and co-op program alumni to campus. They will coordinate an industry series aimed at enhancing the Arts & Science co-op student experience, through in person, hybrid and virtual events. These initiatives contribute directly to the overallArts & Science Co-op department’s strategic goals and will increase co-op student knowledge about specific roles, organizations, industry sectors, recruitment and workplace trends, and facilitate meaningful connections between co-op students and employers, and increase co-op hiring outcomes.


The role involves planning and executing events throughout the year while working with the student services and partnerships teams and developing an event brief that meets all parties requirements for execution. You will develop an event calendar, timelines, key milestones and a proposed budget and work with internal departments and external vendors for set up, catering, registration, and promotion. On the day of the event, you are the contact to ensure smooth execution of activities. Once the event is completed, you will assess event outcomes, gather stakeholder feedback, and provide recommendations to improve and maximize co-op student and employer engagement.

Your responsibilities will include:

 

  • Conceptualizing, organizing and executing event activities
  • Analyzing client needs and making recommendations on event logistics and options
  • Overseeing the implementation of event plans and activities
  • Fostering positive relationships with clients
  • Delivering presentations to promote programs, opportunities and/or initiatives
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Writing and editing reports to support initiatives
  • Conducting post-event evaluation, analysis and recommendations for changes

 

Essential Qualifications:

 

  • Bachelor's Degree in a relevant area of study or acceptable combination of equivalent experience.
  • Minimum three years' of recent and direct experience in coordinating events and programs including conducting post-event evaluations.
  • Demonstrated experience planning and executing events for post-secondary or corporate clients.
  • Demonstrated experience providing front-line customer service to a variety of clients (e.g., faculty, staff, students, external clients, vendors, etc.).
  • Knowledge, experience and ability to market and promote events and conferences including ability and skill set to develop promotion materials.
  • Excellent communication, interpersonal and superior customer service skills.
  • Must have strong computer skills; experience in Word, Excel, PowerPoint and other related software.
  • Strong organizational skills coupled with the ability to handle multiple tasks, meet deadlines, and excel in a fast-paced environment characterized by changing priorities.
  • Demonstrated superior interpersonal skills and the ability to work collaboratively, build consensus, maintain confidentiality, exhibit sensitivity to the needs and interests of a variety of stakeholders, and support the functioning of a diverse team.
  • Demonstrated ability to thrive in and contribute to an integrated and collaborative team environment and to apply a positive team approach to working with colleagues.
