The Centre for Ethics at the University of Toronto, where conversations about ethics happen, sits at the interface between academic research and public discourse. An interdisciplinary centre aimed at advancing research and teaching in the field of ethics, broadly defined, the Centre seeks to bring together the theoretical and practical knowledge of diverse scholars, students, public servants and social leaders in order to increase understanding of the ethical dimensions of individual, social, and political life.


Your opportunity:

Under the supervision of the Director, the Events and Communications Assistant will be responsible for executing a range of both virtual and in-person events for the Centre of Ethics. Representing the Centre, they will be responsible for successfully working with both internal and external stakeholders, throughout all stages of the event cycle. The incumbent will support in the coordination of conventional and digital marketing activities for events, ensuring all information on digital platforms is maintained, in order to best support event promotions. In addition, the Events and Communications Specialist will support all aspects of event operations and logistics, not limited to, determining event requirements, on-site supervision, liaising with vendors and speakers, booking travel and accommodation, and collecting feedback.

 

Please note that this is a part-time opportunity (50% FTE) with a regular work schedule of 18 hours a week, unless or until they are changed in accordance with Article 24.02 of the collective agreement. With advanced notice, may occasionally work evenings.  

 

This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto's Alternative Work Arrangements Guideline


Your responsibilities will include:

 

  • Acting as the first point of contact for general enquiries
  • Determining logistical details and activities for events and/or programming
  • Arranging catering
  • Scheduling audio-visual equipment bookings
  • Scheduling travel plans and requesting appropriate accommodations
  • Coordinating the drafting, production and dissemination of advertising materials
  • Maintaining information on digital platforms
  • Collecting and submitting expense reimbursement claims

 

Essential Qualifications:

 

  • Bachelor's Degree in a relevant area such as Communications or an acceptable combination of equivalent experience.
  • Two years of recent and relevant experience in the execution of event logistics.
  • Relevant experience organizing travel and event schedules.
  • Experience creating and maintaining effective digital content, including social media.
  • Prior experience maintaining and updating websites.
  • Proven organizations skills with the ability to adapt to changing priorities and deadlines.
  • Exceptional written and verbal communication skills, with the ability to successfully engage with a range of stakeholders.
  • Strong computer skills with ability to effectively utilize Microsoft Suite of programs including Microsoft Word and Excel.


Assets (Nonessential):

 

  • Experience with live streaming and virtual event technologies (such as Zoom, YouTube, or similar).
  • Certification or diploma in event management.
