Your opportunity:

 

Reporting to the Director of Facilities Management and working closely with the Facilities Coordinator, the Facilities Assistant demonstrates a strong commitment to service excellence across a broad range of operational responsibilities. This role is essential to the smooth, day-to-day functioning of the Daniels Faculty of Architecture, Landscape & Design, ensuring that its spaces are safe, efficient, and ready to support a vibrant academic community.

The Facilities Assistant plays a hands-on role in conducting routine building inspections, coordinating internal moves, and addressing minor maintenance and security issues with efficiency and attention to detail. The position involves managing access control, responding to incidents, preparing reports, and liaising with occupants, vendors and other internal University stakeholders to ensure seamless service delivery. Additional responsibilities include verifying equipment and furniture inventories and signage, supporting event logistics, maintaining facilities-related information, collaborating on small renovations, and upholding safety protocols. The incumbent also makes minor purchases and directs small teams or workflows—contributing to responsive, well-coordinated operations of Daniels facilities.


Your responsibilities will include:

 

  • Conducting routine building inspections
  • Identifying and reporting facility repair and/or maintenance needs
  • Identifying and resolving minor building security issues
  • Determining logistical details required for internal moves
  • Troubleshooting and resolving routine maintenance requests
  • Determining logistical details required to provide provisional facilities support during events
  • Liaising between clients and Facilities
  • Directing a small group in a limited area, including responsibility for scheduling and/or workflow

 

Essential Qualifications:

 

  • College Diploma (2 years) or acceptable combination of equivalent experience.
  • Minimum three years experience in coordinating building management, facilities maintenance, or facilities projects.
  • Experience conducting routine building inspections.
  • Experience determining logistical details for internal moves and/or events.
  • Experience with the delivery of services to multiple client groups (including faculty and students).
  • Proven initiative; attention to detail skills and the ability to juggle multiple tasks and meet difficult deadlines.
  • Demonstrated commitment to customer service excellence with a solution-oriented focus.
  • Proven ability to work with a variety of clientele, including construction/trades contractors.
  • Ability to read floor plans, follow instructions including technical descriptions of systems related to access (e.g. SALTO) and telecommunication (e.g. Microsoft Teams Voice).
  • Ability to draw and edit architectural drawings using CAD or graphic design software
  • Mechanical aptitude, manual dexterity, ability to lift and move equipment, and moderately heavy objects (e.g. 10 kg - 25kg).
  • Demonstrated intermediate level computer skills with Microsoft Word, Excel, CAD based software, PowerPoint and Outlook.
  • Excellent judgment, problem solving and organizational skills.
  • Good technical writing skills to prepare user documentation.
  • Excellent interpersonal skills and oral communication skills.
