The department of Biological Sciences at the University of Toronto Scarborough (UTSC) pursues detailed knowledge of the natural world, effective management of natural resources, novel technologies and medical techniques. Your opportunity:
Reporting to the Manager, Operations and Finance, the Financial Assistant works as part of a dedicated team to support the day-to-day operational needs of the department. This role requires applying a strong understanding of generally accepted accounting principles and meticulous attention to detail. The Financial Assistant will be responsible for preparing and submitting expense reimbursements and payroll records, as well as maintaining a database of fixed assets. In addition, this position will monitor, record transaction details, and reconcile budget accounts, as well as funding accounts (including grants).
Your responsibilities will include:
- Applying the generally accepted accounting principles to all financial tasks
- Checking that proper approvals are obtained prior to processing transactions
- Monitoring department budget to ensure expenditures remain within budgeted allocations
- Preparing and/or processing journal entries
- Generating standard financial reports
- Processing expense reimbursements
- Identifying and resolving individual financial discrepancies
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three years of recent and related financial and payroll experience, preferably in a university environment.
- Experience processing and reconciling financial, accounts payable and receivable, and payroll records.
- Experience preparing standard financial reports and maintaining financial files.
- Experience processing expense reimbursements.
- Experience maintaining databases and producing reports.
- Experience monitoring and reconciling budget and research grants.
- Advanced working knowledge of MS Office suite of products: Excel, Word, PowerPoint; Adobe Acrobat.
- Advanced working knowledge with HRIS and FIS or other related financial and payroll systems.
- Demonstrated working knowledge of databases and producing reports.
- Excellent verbal and written communication skills.
- Strong analytical, problem solving, organizational skills and planning ability, ability to pay meticulous attention to detail.
- Excellent organizational and time management skills with the ability to meet multiple deadlines.
