Your opportunity:

The Financial Assistant will provide financial and administrative support for the University of Toronto-France Art History Partnership (https://arthistory.utoronto.ca/france-partnership). This program creates immersive experiential learning opportunities in France for U of T students, brings distinguished French scholars to Toronto, and supports international graduate student exchanges.

Reporting to the Chair, with supervision from the Business Officer, the incumbent will be a central resource to the Partnership for a range of financial and administrative processes such as planning logistical arrangements for visiting scholars, supporting expense reimbursements, recording detailed transactions for financial accounts, and processing financial documentation. This role will also support the Business Officer in setting up, and maintaining FIS information, identifying financial discrepancies, financial tracking and report generating.

 

Please note this is a part time (14.5 hours a week) and 2 year term opportunity. 

Your responsibilities will include:

 

  • Recording detailed transactions for many accounts
  • Coding financial information for processing in FIS
  • Scheduling travel plans and requesting appropriate accommodations.
  • Processing expense reimbursements.
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements.
  • Maintaining a database.
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate.

 

Essential Qualifications:

 

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years’ relevant experience in financial and administrative processing and support, ideally in an academic environment.
  • Demonstrated experience using FIS and/or HRIS or similar SAP systems.
  • Experience maintaining financial and personnel records.
  • Experience preparing and/or processing journal entries.
  • Familiarity with expense reimbursement processes and procedures.
  • Experience providing administrative support in planning travel logistics.
  • Effective communication skills, both verbal and written.
  • Strong interpersonal skills, ability to work collaboratively with internal and external stakeholders
  • Strong analytic skills.
  • Excellent problem solving and customer service skills.
  • Proficiency in MS Office (Word, Excel, Outlook, Teams).


Assets (Nonessential):

 

  • Knowledge of the University Guide to Financial Management and other applicable policies, agency and regulatory requirements are an asset.

Please note:  

  • This is a part time opportunity at 40% FTE /14.5 hours a week.
  • This opportunity is a two year term.
