The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which played a critical role in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $76 million in research funding per year, including more than $31.5 million held at DLSPH, the School contributes to improving population health and health policy and health systems through discoveries and innovation in data science and AI, maternal, child and reproductive health, climate change [response], implementation and improvement sciences, preventable disease through vaccines and prevention through [and] wellness such as with diabetes, comparative health policy, sustainable and equitable health systems, global and Indigenous health, among many other areas.

Your opportunity:

As Graduate Assistant, your strong organizational skills will enable you to be proactive in your support of the Teaching Assistant (TA) recruitment process. Your responsibilities will include being a central resource and support throughout the entire TA recruitment lifecycle, which largely includes following specific guidelines and procedures, verifying eligibility of applicants, and determining which applications are passed along to the hiring committee. You will also be a key support to students in providing relevant admissions, program and course related information. You will be central in ensuring the effective and efficient operation of a complex portfolio.

Your responsibilities will include:

 

  • Providing detailed information regarding admission requirements to prospective students andapplicants and responding to inquiries within the defined scope of the role
  • Determining logistical details and activities for events and/or programming (i.e. Welcome Day and Open House).
  • Interpreting guidelines to determine the eligibility of graduate students for teaching assistantships
  • Coordinating the recruitment and training process for teaching assistants, including verifying the eligibility of applicants, determining which applications to refer to a committee, and preparing draft employment letters using templates, ensuring procedures/guidelines are followed.
  • Collecting supporting documentation required for payroll and/or HRIS processing
  • Analyzing course requirements and making staffing recommendations
  • Writing routine documents and correspondence and generating reports
  • Handling sensitive and/or confidential information

 

Essential Qualifications:

 

 

  • Bachelor’s Degree or acceptable combinationof equivalent experience.
  • Minimum two (2) years’ of relevant administrative experience, preferably supporting students and Teaching Assistants within a University setting.
  • Demonstrated experience supporting the recruitment and training process for Teaching Assistants.
  • Demonstrated experience with providing admissions, program, and course related information to students
  • Demonstrated experience determining logistical details for events.
  • Experience in a complex and fast-paced customer service environment.
  • Experience with writing routing documentation and generating reports.
  • Knowledge of administrative systems and organizational office practices, procedures, and standards.
  • Proficiency in Microsoft Office suite, ROSI, Slate, and Wordpress.
  • Excellent interpersonal, organizational and communications skills (oral and written) with an ability to multi-task and prioritize competing demands.
  • Professional demeanour with a strongcustomer service orientation.
  • Ability to foster positive relationships with various groups.
  • Strong commitment to accuracy and attention to detail.
  • Demonstrated problem-solving skills and proven ability to meet deadlines.
  • Demonstrated ability to work independently, show initiative and exercise diplomacy and good judgment.
