Your opportunity:
The incumbent is responsible for various aspects of program administration, with an emphasis on the research-stream MASc & PhD programs. Areas of focus include program completion, registration & student records, course enrolment, status letters, scheduling qualifying exams, processing thesis proposals/candidacy recommendations, supporting annual supervisory committee meetings, and timely completion of degree milestones. As the primary point of contact for many of these elements of program administration, the incumbent plays an important role in ensuring that stakeholders, including students, staff, and faculty, have a positive experience when interacting with the office.
The incumbent is also a key a member of the Graduate Office team and may, from time to time, also support other aspects of program administration including scholarship & awards administration, admissions, courses administration, etc.
Your responsibilities will include:
- Providing detailed information to students on program and/or course requirements
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Scheduling committee meetings
- Coordinating meeting schedules, agendas, materials, action and follow-up items
- Monitoring student degree progress
- Informing students of their academic standing
- Checking that program requirements are complete
- Creating and updating student records
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum two years of relevant experience in an academic environment.
- Experience working with a diverse student population in a culturally diverse and demanding environment.
- Demonstrated ability to explain processes and policies to a wide range of stakeholders.
- Excellent computer skills, including experience with MS Office Suites (Word, Excel, PowerPoint) & SharePoint.
- Demonstrated commitment to equity, diversity, inclusion and the promotion of a respectful and collegial learning and work environment.
- Experience using Student Information Systems including or comparable to ROSI/ACORN.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to maintain productive working relationships with both internal and external stakeholders.
- Ability to address sensitive and/or confidential matters with tact and discretion; adhering to established policies and procedures.
- Strong organizational and time management skills with the ability to work well under pressure and meet competing priorities and deadlines.
- Demonstrated analytical and problem solving skills, sound decision-making and resourcefulness, judgement and diplomacy.
Assets (Nonessential):
- Experience working with graduate students and / or administering graduate programs is an asset.
