Your opportunity:

The Department of Physiology is one of the largest basic science departments in the Faculty ofMedicine and one of the largest physiology departments in North America. It is a highly interdisciplinary department with many local and global partnerships, allowing excellent opportunities for intensive research training and teaching in medical science.

As Graduate Program Assistant, you will support the day-to-day operations of our Master of Science, Doctoral and Postdoctoral programs. You will work closely with the Graduate Coordinator and other stakeholders to provide a broad range of services and support, including coordinating scholarships and awards applications, course enrollments and maintaining records. Your enthusiasm, superior organizational skills and attention to detail will contribute to our graduate programs' success.

Your responsibilities will include:

 

  • Acting as the first point of contact, responding to inquiries and providing detailed information to students on program and/or course requirements
  • Scheduling appointments for prospective students, applicants, and current students to address individual needs
  • Coordinating program schedules and preparing examination timetables
  • Collecting and submitting grade, and collecting submissions for award competitions
  • Coordinating meeting, taking minutes, preparing agendas, materials, action and follow-up items
  • Maintaining records and generating reports

 

Essential Qualifications:

 

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum two years related experience, preferably in an academic environment
  • Experience coordinating academic programs, including experience working with policies and procedures, serving as the primary resource to academic leaders, committees, and students, reviewing applications, coordinating schedules and timetables and monitoring student progress
  • Experience supporting committees and coordinating events
  • Experience managing databases and generating reports
  • Advanced technical skills in MS Office and student information systems
  • Excellent interpersonal and communication skills (verbal and written) with a strong customer focus
  • Strong initiative, proactive and highly resourceful
  • Ability to follow documented procedures and guidelines and communicate these to others in order to ensure compliance
  • Ability to identify problems and recommend appropriate solutions
  • Proven ability to work independently and effectively manage high volumes and varied duties with competing deadlines
  • Attention to detail and accuracy is essential
  • Sensitivity to diversity and excellent judgment on confidential issues
