The Department of Computer and Mathematical Sciences comprises Computer Science, Mathematics, and Statistics. All three disciplines play fundamental roles in science, engineering, and many other areas of academic inquiry and technological innovation. The department offers programs that specialize on a wide range of topics, such as Software Engineering, Machine Learning and Data Mining, Quantitative Finance, Mathematics, and Applied Statistics. Your opportunity:

Under the general direction of the Department Manager, and the direct supervision of Undergraduate Team Lead, the Instructional Support Assistant provides administrative support associated with the coordination and delivery of large courses in the Department of Computer and
Mathematical Sciences.

The Instructional Support Assistant provides a broad range of administrative support functions such as: acting as the first point of contact for general enquiries, assisting with drafting and responding to standard queries from students and Teaching Assistants; duplicating and distributing course materials, organizing test/exam rooms and materials; ordering textbooks, creating mailing lists for teaching teams, organizing and booking rooms; organizing assignments on online grading platforms, returningcourse materials to students, re-calculating marks; managing Academic Integrity cases; contacting Registrar’s Office for student information; and other duties related to the administration of large courses.

Your responsibilities will include:

 

  • Acting as the first point of contact for general enquiries and responding to enquiries and redirecting as appropriate.
  • Provides administrative support by writing routine documents and correspondence, generating reports and uploading digitized records into databases.
  • Providing detailed information to students on program and/or course requirements.
  • Collects and files student assessments and assignments as well as coordinates the submission process of student grades/marks.
  • Handling the delivery of examination question booklets and collects/stores completed examinations for department pick up as well as scanning, filing, and copying documents as needed.
  • Determining logistical details and activities for events and/or programming and liaising with stakeholders to coordinate space and resource requirements.
  • Provides detailed information on and demonstrating the proper use of equipment,software and hardware, operating systems (such as Linux/Windowx/iOS), and teaching/marking systems (such as Quercus, Markus, Crowdmark, eMarks, etc.)
  • Identifying and reporting academic offences.

 

Essential Qualifications:

 

  • Advanced College Diploma (3 years) in related field or acceptable combination of equivalent education and experience.
  • Minimum of two years of directly related and demonstrated experience providing student and teaching support to undergraduate/graduate programs.
  • Must demonstrate experience working directly with students in a front-line capacity providing detailed information on programs and academic courses.
  • Experience maintaining and creating databases and statistical reports.
  • Advanced proficiency with Microsoft Office (e.g., Word, Excel, PowerPoint, Access, Outlook) and Adobe Acrobat.
  • Excellent communication (oral and written) and interpersonal skills with the ability to promptly respond to inquiries with clarity.
  • Excellent interpersonal skills with ability to build effective relationships with diverse stakeholders including faculty, staff and students.
  • Strong customer service orientation with the ability to work independently as well as part of a larger team in a fast-paced, service-oriented environment.
  • Strong organizational skills, with the ability to manage multiple priorities, multi-task, and meet deadlines without compromising accuracy and attention to detail.
  • Demonstrated behaviour that indicate personal commitment to innovation, teamwork, flexibility and integrity.
  • Must show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.


Assets (Nonessential):

 

  • Strong knowledge of University policies and procedures are an asset.
  • Experience with ROSI/ROSI Express is a highly valued asset.
  • Experience with UTSC Intranet, eService, and CIS would be strong assets.
  • Familiarity with CUPE 3902 (Unit 1) collective agreement would be an asset.
