Description:

Reporting to Legal Counsel and providing support to the Office Manager, the incumbent provides a high level of confidential administrative support to a team of specialized legal counsel within the Office of the University Counsel.  In an environment that requires confidentiality and discretion, the incumbent is responsible for: managing and providing the full range of administrative supports to a team of legal counsel; briefing counsel on issues as they arise, including identifying priorities and, where appropriate, recommending next steps; monitoring and maintaining a complex and confidential legal filing system and monitoring system for flagging important deadlines; receiving and reviewing all correspondence for counsel whom the incumbent supports, scheduling meetings with multiple internal and external stakeholders, screening and reporting on items, assigning priority, handling routine matters falling within established policies/practices, and applying judgement in decisions on distribution, consulting as appropriate.

The incumbent provides a broad range of support to the Office Manager in administering the operation of the Office of the University Counsel and supports team initiatives and projects, as required.

This position is hybrid working one day per week onsite.

Qualifications Required:

Experience:

Minimum three (3) years of experience providing administrative  support. Experience providing support in a University environment is highly desirable. Knowledge of University administrative policies and procedures is an asset. Experience in paralegal, legal clerical, or legal administrative environment is highly valued.

Skills:

Proficiency with MS Office365, scheduling, e-mail and cloud based software; typing speed of 70 w.p.m. Familiarity with web search and research tools; effective problem solving skills. Familiarity with iManage and SharePoint an asset.

Education:

College Diploma in legal/secretarial assistant or law clerk program or equivalent combination of education and experience is preferred.

Excellent written communication skills. Ability to work with extremely confidential and sensitive material. Excellent interpersonal communications skills, including tact, diplomacy and client service focus. Excellent organizational and time-management skills. Excellent file management skills. Ability to assimilate and interpret significant amounts of information. Ability to meet deadlines. Ability to prioritize tasks and responsibilities. Flexibility with regard to types of tasks. Precision, accuracy, must pay meticulous attention to detail. Outstanding public relations skills e.g. tact, diplomacy, client service orientation. Familiarity with or ability to learn and apply fundamentals of legal processes.
