Your opportunity:

 

Reporting to the Senior Manager, Finance and Operations, the Manager, Academic Program Administration provides managerial oversight of the administrative operations for the Department’s undergraduate, graduate and graduate work-integrated learning programs along with the Office of Chair.  

 

The Manager, Academic Program Administration provides advice and assistance with respect to a diverse and complex range of activities spanning academic policies, administrative operations, recruitment/admission initiatives, human resources and financial functions specific to the Department’s academic plan.  Working closely with the Senior Manager, the incumbent will implement administrative processes designed to proactively support and coordinate program priorities and directions established by the Chair, Associate Chairs (Undergraduate, Graduate) and Program Directors (Professional Programs). 

 

In addition to supporting the Department’s academic operations the incumbent will work closely with staff from the Office of the Vice-Principal Academic & Dean (OVPD), to provide managerial oversight of the operations of the Chair’s office ensuring that administrative processes are in place to proactively support the Academic HR needs of the Department including, but not limited to faculty hires, reviews, annual merit awards, promotions, and leaves.

 

Your skills as an organizer, motivator and people manager will support a broad and diverse team of high-calibre and dedicated staff that supports a very broad and diverse range of programs.  The unique multi-disciplinary and diverse programs within the Department poses distinct human resource, operational and administrative challenges that will test your creativity and ability to bring people together working towards a common goal.  As a leader/mentor, the Manager assumes responsibility for developmental, human resource and workflow/workload issues including dispute resolution and compliance with collective agreements. They actively participate in senior level decisions and will be required to work in collaboration with the Department Leadership and Campus partners.

 

Qualifications:

 

Education:

  • University degree in a related field or equivalent combination of education and experience.

  • Master’s degree is an asset.

 

Experience:

  • A minimum of five years of senior administrative experience, including demonstrated experience leading and managing staff, preferably in a unionized environment.

  • Experience in student services in a post-secondary environment, including experience resolving complex matters related to students.

  • Demonstrated knowledge of program support and experience with developing and implementing administrative and business processes is required.

  • Knowledge of strategic planning, change management and academic programs is highly preferred.

  • Experience working with and interpreting policies and procedures pertaining to budget, finance, human resources, and academic administration.

  • Experience in data collection, management, and analysis to drive strategic program management and growth.

  • Knowledge/experience with work-integrated learning or experience with hiring practices to support development/enhance programs designed to support student career transitions.

  • Knowledge/experience of the University’s policies as they pertain to full-time and part-time academic appointments, interim review, probationary review, tenure, continuing status, promotions, leaves and salary administration.

  • Demonstrated knowledge/experience with collective agreement interpretation.

 

Skills:

  • Excellent interpersonal skills, with a strong ability to foster and maintain effective relations with both internal and external stakeholders.

  • Effective oral and written communication skills.

  • Superior organizational skills in planning, executing and completing tasks and projects by agreed deadlines

  • Demonstrated project management skills and experience, developing strategies, implementation of initiatives, and establishing best practices/SOPs and KPI’s.

  • Highly developed research, project management and analytical skills.

  • Strong leadership skills, including the ability to foster confidence and motivation in staff and to develop cooperative, collegial working relationships.

  • Sound working knowledge of PC platforms, word processing, presentation and spreadsheet software

  • Experience with ROSI and Slate.

  • Knowledge of and adhering to Web Content Accessibility Guidelines (WCAG)
