The Governance and Curriculum Services office provides curriculum services, research, policy analysis and development, and records management functions for the governing body of the Faculty, ensuring strict confidentiality. The Governance team provides formal secretariat support to meetings of Faculty Council and its standing committees, ensuring governance bodies have the necessary information to engage in substantive discussions and to make informed decisions.

Your opportunity:

Working under the direction of the Senior Manager, Governance, Academic Planning & Reviews, the Manager, Governance and Curriculum Services, is responsible for the smooth functioning of the Arts & Science Council and its standing committees, including the Agenda Committee; the Graduate, Humanities, Social Science and Science Curriculum Committees and the Committee on Admission. The Manager supports and advises the Dean, Vice-Deans, and Department Chairs to ensure compliance with academic governance, including the interpretation of policies, the approval process for changes, and rules around adding, changing, or closing courses or programs. The Manager also ensures that all committees and Council and committee members are operating in compliance with the Faculty’s constitution and by-laws.

In collaboration with the Director, Student Communications, the incumbent also oversees the production of the Faculty of Arts and Science annual academic calendar, ensuring the timely integration of curricular changes and resulting in an academic calendar that is accurate, up-to-date and comprehensive. 

The incumbent is the first point of contact for academic units and the Dean’s Office regarding whether a proposal represents major or minor modifications, and develops processes to ensure hundreds of proposals annually pass through the appropriate consultation and approval processes. Working closely with the Vice-Dean, Undergraduate, and the Vice-Dean, Graduate Education, the incumbent will serve as a resource on academic change to help manage ongoing discussions in a timely way. The incumbent also provides input on whether a proposal requires assessment from a financial, strategic, operational, or student-experience standpoint. 

The Manager oversees the consolidating, writing and submitting of governance documents for approval, including procedure documents, Terms of Reference for Committees and proposals for curricular change. The Manager researches best practices on academic governance policy and advises the Senior Manager on how governance processes may be improved. The Manager assists in preparing and delivering the orientation sessions to the new and returning members of Council and its Committees.


Your responsibilities will include:

  • Providing consultation and advice on the application of University policies and procedures; working directly with units on curriculum proposals. Corresponding, collaborating, iterating, advising on proposals to ensure appropriate path, scope, consultations, etc.
  • Facilitating and coordinating Curriculum Committee and Council meetings
  • Liaising and collaborating with parties including Vice-Deans, the Office of the Faculty Registrar, the Office of the Vice-Provost, Academic Programs, and the Academic Planning & Reviews team, to foster collaboration
  • Coordinating review and assessment of academic change proposals, and other strategic initiatives with stakeholders
  • Analyzing and recommending changes, and producing the academic calendar
  • Advising internal stakeholders through on proposals to ensure appropriate path, scope, consultations, etc.
  • Serving as a resource on specific issues to a group of specialists; advising Vice-Dean, Undergraduate and Vice-Dean, Academic Planning on academic change, curriculum proposals, and governance.
  • Directing a small group in a limited area, including responsibility for scheduling and/or workflow

Essential Qualifications:

  • Bachelor's degree in public policy and/or governance or acceptable equivalent combination of education and experience.
  • Six to seven years recent and related experience in a post-secondary environment administering governance and curriculum changes by facilitating and coordinating committees, coordinating production of curriculum documents (e.g., academic calendars), and advising on academic proposals.
  • Demonstrated knowledge and understanding of the University governance processes.
  • Familiarity with University structures, Faculty priorities, University policy and procedures, and understanding of academic programming and proposal implications (operational, financial, registrarial)
  • Direct experience with governance committee work, including the development of agendas and supporting documentation, and the administration of university policy.
  • Knowledge and understanding of the University’s quality assurance framework and how it comes to bear on academic programming and change.
  • Advanced knowledge of institutional and divisional policies and frameworks for academic programming and curricular change.
  • Demonstrated experience orchestrating broad consultation processes for proposals related to academic change or policy.
  • Experience advising and orienting new and returning members of governance; ability to assess needs and act as a knowledge resource and aid in decision-making.
  • Demonstrated experience in organizing schedules and materials for multiple committees both internal and external with multiple processes.
  • Experience supervising staff, ideally in a unionized environment.
  • Excellent communication skills, both oral and written.
  • Demonstrated ability to write in a variety of styles and formats, including reports, governance documentation and procedure, and readable, student-facing web text.
  • Experience in editing documents for clarity, brevity and logical cohesion.
  • Excellent interpersonal skills with the ability to deal courteously, professionally and effectively with a diverse group of faculty members, academic leaders, University staff and students.
  • Advanced knowledge of curriculum management systems (e.g. Kuali, Degree Explorer, ROSI) and Microsoft Office (e.g. Microsoft Word, Access, Excel), Adobe.
  • Strong organizational and time-management skills; strong problem-solving skills; strong initiative.
  • Ability to track and manage multiple projects simultaneously, including large inter-departmental projects and balancing large ad hoc projects with recurring cyclical tasks, while meeting frequent deadlines.
  • Ability to plan ahead and anticipate future challenges, while generating ideas for change and improvement of business processes.
  • Strong problem solving skills with the ability to assess needsand act as a knowledge resource and aid in decision-making.
  • Ability to work independently and to work well under pressure while negotiating requests and inquiries from many sources, often at the same time
