Your Opportunity:


Working under the direction of the Vice-Principal Research & Innovation (VPRI), the Manager of Operations and Project Management is part of the senior leadership group within the Office of the Vice-Principal Research & Innovation (OVPRI) and supports a wide range of high-level and confidential activities related to OVPRI’s portfolio. They work with the VPRI and are responsible for the efficient and effective management of the administrative and communications operations of the OVPRI and facilitating, implementing and coordinating Campus-wide priorities and directions established by the VPRI. The Manager is responsible for managing the OVPRI’s administrative operations and communications and playing a lead project management role in the execution of various OVPRI initiatives, working groups and special projects. 


Responsibilities also include: developing briefing information, presentations, speaking notes and providing advice and recommendations based on research and analysis on a wide range of issues, and ensuring that the necessary follow up occurs; attending internal and external meetings; liaising with senior academic and administrative staff at UTSC and across the University; and communicating decisions and coordinating responses as necessary in relation to issues managed in whole or part from the OVPRI. They will independently compose complex and sensitive correspondence and memorandum for the VPRI’s signature and consult with the UTSC/University Legal Counsel and the OVPRI regarding confidential and non-confidential MOUs.


The Manager has full management authority for Administrative and Financial functions and these staff within the OVPRI including directing the daily activities, scheduling, work allocation, human resources / labour relations matters, budget, special projects and events. 


You will contribute to the mission by:


  • Providing briefing packages for the Vice-Principal Research & Innovation for internal and external meetings, relating to overall strategic planning
  • Drafting, composing, and editing a wide range of written information including high-level sensitive and confidential correspondence, documents (e.g., reports, emails), proposals, spreadsheets, presentations, and MOUs in support of OVPRI’s goals
  • Lead and manage the administrative and financial operations of the OVPRI to ensure the needs of the office are met in an efficient and effective manner
  • Ensure the optimal effectiveness and responsiveness of the OVPRI so that established objectives are met through the review and development of effective organizational structures, workflow processes, and unit timelines and administrative systems
  • Conduct research, analysis, develop strategies, and make recommendations for special projects; monitor progress and ensure all timelines and logistics are effectively managed
  • Advise the VPRI and Director on areas that require attention within the OVPRI and assist with the development of short-term and long-range plans
  • Apply a broad knowledge of the University, UTSC’s strategic plan, and University governance, policies, and procedures to gather, synthesize, review information, interpret, and prepare draft reports and proposals, and finalize reports related to projects
  • Develop short- and long-term forecasts for projects and department resources based on an understanding of the operational goals of the OVPRI in conjunction with the Director, OVPRI
  • Support senior administrators in addressing procedural and policy matters (inter-institutional agreements, MOUs, and other types of agreements) and internal governance matters related to key projects and initiatives in consultation with UTSC/University Legal Counsel and the OVPRI. 


What you will bring to the role:


  • Graduate degree (Master’s or PhD) or equivalent in education and experience; PhD is strongly preferred. Project Management Certificate an asset.
  • Minimum of five years of senior level administrative support experience, preferably in an academic and research environment
  • Proven success working independently with a high degree of initiative, while providing superior service and support in a busy, extremely demanding environment
  • Experience with strategic planning, financial planning, change management and process development and implementation
  • Demonstrated leadership skills and experience with effectively managing and developing staff, preferably in an unionized environment
  • Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex, confidential and highly sensitive nature
  • Excellent communication (written and oral), presentation, facilitation, analytical and problem solving skills 
  • Ability to engage with senior University administrators and academics in a manner that facilitates cooperation and consensus building
  • Project management skills with a solid understanding of Project Management methodologies 
  • Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets and graphics, prepare sophisticated PowerPoint presentations, knowledge of Sharepoint), Internet, Acrobat, and scheduling software
  • Ability to work under pressure with superior organizational and time management skills in planning and task coordination

  • This is a term role ending December 2022. Secondments are welcome.
