The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which played a critical role in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. The Office of Finance and Administration supports the Faculty in ensuring efficient and effective management of the school’s financial, human resources, building, and information technology resources. We support the day-to-day administrative needs of our 87 Core Faculty, 400 Adjunct/Status only Faculty, 58 Research and Administrative staff, and approximately 100 casuals and Post-Doctoral students. As Payroll & Finance Assistant, you will support financial and payroll processing for the Dalla Lana School of Public Health. This critical role supports payroll and financial processing tasks while maintaining exceptional service to our staff and faculty. This includes responsibility for day to day payroll and financial administration for most of the school’s non-appointed staff including: posting casual opportunities, developing letters of offers, onboarding casual hires onto HRIS, training staff on KRONOS/UTime, processing bi-weekly and monthly payroll, andmonitoring casual contracts. You will also support the school’s accounts payable functions in reviewing and processing invoices and expense reimbursements. Your problem-solving skills will be an asset to investigating and correcting financial discrepancies along with reconciling accounts. Your strong financial acumen coupled with your high caliber organizational and multi-tasking skills with be essential to your success in this role.

 


Your responsibilities will include:

 

 

  • Acting as the first point of contact for payroll related enquiries including processing payroll, troubleshooting and resolving payroll discrepancies, reconciling payroll distribution
  • Supporting HRIS records and data management by entering salary and personnel information as well as maintaining and tracking attendance records including timesheet data.
  • Ensuring the accurate processing (verifying completeness of documents, obtaining approvals)
  • Performing financial responsibilities (preparing journal entries, recording detailed transactions, processing accounts payables/receivables and expense reimbursements)
  • Coding financial information and matching source document information to records in FIS

 

Essential Qualifications:

 

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum of three (3) years of recent and related financial and payroll experience, preferably in a university environment
  • Demonstrated experience processing high volume financial and payroll transactions
  • Demonstrated experience interpreting and applying financial policies and guidelines
  • Experience troubleshooting and resolving payroll discrepancies and reconciling payroll distribution
  • Experience acting as the first point of contact and screening inquiries
  • Experience maintaining and organizing administrative, financial and HR records
  • Proficiency with MS Office Suite, SAP systems, including Financial Information Systems (FIS), Human Resources Information System (HRIS), or similar systems
  • Excellent communication (written and verbal) and interpersonal skills
  • Accuracy and attention to detailare crucial
  • Excellent organizational, analytical and time management skills
  • Demonstrated ability to meet deadlines, problem solve, prioritize and manage competing priorities
  • Ability to use discretion and sound judgement while dealing with confidential material
