Your opportunity:
Reporting to the Manager, Business Services, the incumbent brings the highest standards of professionalism, contract and payroll administration experience to achieve maximum quality and productivity to enhance the Faculty’s financial and business operations.
You will be responsible for coordinating the entire Teaching Assistant (TA) process; this includes posting positions through assignment of appropriate TAs each term (ensuring that CUPE regulations, Faculty TA policy, funding goals and instructor needs are met considering relative class size and subsequent appointments) and managing the flow of DDAH forms to payroll and reporting; coordinating all stipend teaching engagements post assignments (to course) regardless of union affiliation (overload teaching, emeritus faculty, adjunct, status only, visiting professor stipend teaching, CUPE U1 U3 and U5); responsible for various unit budgets; coordinating and overseeing payroll administration for the faculty; in close consultation with Labour Relations, providing expert advice on CUPE Units 1 and 3 collective agreements and support and assistance in interpretation of University and Faculty of Information policies; preparing documentation to establish accounts, setting account budgets in FIS, processing all revenue and expense transactions; monitoring contract budgets, providing interim budget analyses and reconciling accounts; and administering HRIS processes for a large pool of casual employees (casual USW and casual academic).
Your responsibilities will include:
- Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors
- Verifying that provisions of applicable collective agreements and/or policies are applied appropriately
- Verifying that HRIS transactions are processed according to applicable policies, procedures, collective agreements, and applicable legislated requirements
- Analyzing actual expenditures in comparison to budget and preparing reports for financial planning and funding terms compliance
- Preparing financial summary reports
- Recording detailed transactions for many accounts including payroll
- Checking that properapprovals are obtained prior to processing transactions
- Verifying that personnel transactions are processed according to applicable policies, procedures, collective agreements, and applicable legislated requirements
Essential Qualifications:
- Bachelor's degree or acceptable combination of equivalent education and experience
- Minimum three (3) years of progressive experience administering budgets, payroll and related functions: administering the recruitment process using various systems, onboarding, processing payroll (casual and appointed, academic and administrative), reconciling, reporting
- Knowledge and understanding of University collective and other agreements with employee groups as follows: CUPE U1, CUPE U3, CUPE U5, USW casual and appointed, UTFA, research associates etc.
- Experience interpreting, applying and administering financial policies and the Guide to Financial Management (GTFM), collective agreements, employment-related legislation and organizational policies
- Excellent facilitation skills with the ability to work effectively with a wide range of faculty, staff and students to gather requirements
- Demonstrated analytical ability and problem solving
- Proficiency with setting up and maintaining databases in order to produce and update statistical reports and to archive material
- Familiarity with PhD funding packages at UofT
- Experience in processing transactions and producing reports in both the Financial and Human Resources Information Systems (FIS/HRIS)
- Demonstrated experience analyzing financial data and identifying and resolving discrepancies
- Excellent communication, consultation, proactive service orientation with an awareness of and sensitivity to diversity
- Ability to manage pro-actively a large and constantly fluctuating workload. Demonstrated flexibility and adaptability within a constantly changing environment
- Strong judgment and ability to maintain confidentiality
