Your opportunity:
Reporting to the Assistant Dean, Field Education, and working within a high-functioning team, the Practicum Assistant is responsible for providing a wide range of support in the administration of Practicum courses. Major duties include acting as the first point of contact for staff, students and field instructors about issues related to practicum placements, and database administration. The incumbent works with students to facilitate matching to a practicum and maintains records and reporting on practicum and student information. In addition, the incumbent: prepares and edits correspondence, reports, and content for website; coordinates workshops and meetings; and performs committee work including minute-taking. The Practicum Assistant provides user training and support for students, field instructors, educational coordinators, faculty-field liaisons and Practicum Office staff in using the practicum administration system (PAS) and other applications. The Practicum Assistant also works with the database programmer to enhance the functionality of the PAS including identifying areas for improvement and designing reports.
This role is not currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
Your responsibilities will include:
- Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
- Determining logistical details and activities for events and/or programming
- Editing content for brochures, newsletters, websites and/or handbooks
- Maintaining information on digital platforms and/or printed materials
- Handling sensitive and/or confidential information
- Generating reports
- Verifying the accuracy and completeness of information
- Serving as a resource to others by providing (non-supervisory) job-related guidance
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience
- Minimum three years of administrative office experience in a front-line position, preferably in an educational setting
- Experience providing detailed information to students with relevant academic guidelines and procedures and other related information
- Experience facilitating student placements or a similar function
- Experience creating, designing, and maintaining databases
- Experience coordinating meetings and workshops
- Strong oral and written communication skills and experience preparing reports, correspondence, and website content
- Ability to work under time constraints and workload pressures while maintaining tact and professionalism when dealing with staff, students, field instructors, and the general public
- Ability to exercise sound judgment and initiative in following established guidelines and procedures
- Experience coordinating efficient administrative processes and identifying areas for improvement
- Excellent computer skills in Microsoft Word, Excel, Outlook, Quercus or related software, WordPress, PowerPoint, and customized databases
- Demonstrated ability to adapt to new technologies
- Strong attention-to-detail, accuracy, and organizational skills
- Must have flexibility and take initiative to ensure quality customer service to people of diverse backgrounds and interests
- Proven ability to work independently and on a team
Assets (Nonessential):
- Knowledge of the structures of professional learning of social workers is an asset
- Knowledge of University of Toronto and FIFSW policies and procedures is an asset
