Under the general direction of the Director, Student Development & Career Programming, the ProgramAdministrator will work closely with the student development team to provide program administration and planning support for the development and delivery of curricular and co-curricular programming and logistics, including the registration and enrollmentprocess. The Program Administrator will also liaise with various stakeholders to ensure consistent administrative procedures are followed. This is a highly collaborative work environment dedicated to the success of our students. As a first point of contact for our current and prospective students and stakeholders, the Program Administrator plays a critical role in creating a positive, welcoming, and professional experience, while ensuring fast, efficient, and accurate customer service. The incumbent willbe strongly committed to student success and equity, diversity, and inclusion.
Your responsibilities will include:
- Acting as the first point of contact for PEY Co-op program-related enquiries from students,staff and faculty.
- Providing detailed information on program and/or course eligibility requirements, procedures,policies and deadlines.
- Processing student registrations using ROSI, CSM (Symplicity), and Quercus.
- Analyzing administrative processes and procedures and recommending changes for improvement.
- Liaising with contacts to ensure consistent administration procedures are followed.
- Resolving issues within the scope of the role and escalating problems as required.
- Documenting and maintaining standard operating procedure
- Maintaining information on digital platforms (such as Quercus and CSM) and/or printed materials
Essential Qualifications:
- Bachelor's Degree in Business or acceptable combination of equivalent experience
- Minimum three years of recent and related experience with career development programming, course coordination or office administration, including providing support in preparing program material and maintaining program/student information, preferably in a career development context
- Experience working with learning management systems, such as Quercus (Canvas), CSM (Symplicity) or Orbis
- Experience maintaining student record databases, e.g. Orbis, CSM (Symplicity), and ROSI
- Experience working in a high-volume, fast-paced work environment with tight deadlines
- Demonstrated knowledge and understanding of best practices in career development and/orwork-integrated learning theory
- Superior organizational and time management skills with the ability to effectively balance time sensitive independent and team-based projects
- Ability to quickly pivot to changing priorities
- Strong problem-solving skills with the ability to independently troubleshoot issues within the parameters of policies, standard operating procedures and past practices
- Strong written and verbal communications skills
- Customer-service focused and dedicated to meeting the expectations and requirements of internal and external stakeholders
- Strong proficiency with Microsoft Office Suites, with advanced proficiency in Excel
- Self-motivated learner with demonstrated commitment to professional growth and development

USW Pay Band 10 -- $70,844. with an annual step progression to a maximum of $90,595. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
