At Rotman Executive Programs, Canada’s leading executiveeducation provider for open-enrolment programs, we enable leaders to develop the capacity to transform themselves, their organizations and their communities by offering specialized business education programs for individual and organizations which address today’s business challenges and opportunities.

Our programs for individuals cover all areas of executive training, including leadership, management, strategic human resources, governance and finance, for public, private and non-profit sectors. We also work directly with organizations and their executives around the globe to address their unique challenges and opportunities by designing customized programs focusing on helping organizations and their leaders achieve better business results.

As the Program Assistant, you will be responsible for providing program, operational and administrative support to Executive Programs while practicing professionalism and sound judgment and maintaining high service standards.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Resolving minor complaints within the scope of the role and referring larger issues when appropriate
  • Booking rooms and arranging appropriate accommodations
  • Booking audio-visual and/or computer equipment
  • Arranging catering
  • Verifying the accuracy and completeness of signage
  • Liaising with contacts to ensure consistent administration procedures are followed
  • Providing training to casual staff

 

Essential Qualifications:

  • College Certificate or equivalent or acceptable combination of equivalent experience.
  • Minimum two years experiencein an administrative position, preferably in an educational environment.
  • Intermediate knowledge of Microsoft Office Word, Excel including pivot tables, PowerPoint, Adobe Reader and Writer
  • Excellent interpersonal and organizational skills;
  • Ability to interact with people in a tactful, professional and diplomatic way.
  • Good planning skills and problem-solving skills are essential to succeed in this position.
  • Excellent attention to detail, particularly in supporting the logistical and administrative needs for events and programming.
  • Excellent organizational skills; ability to manage conflicting priorities and deadlines.
  • Excellent oral and written communication skills.
  • Knowledge of virtual meeting and event platforms (e.g. MS Teams Meeting, Zoom).

Pay Scale Group & Hiring Zone: USW Pay Band 04 -- $49,424. with an annual step progression to a maximum of $63,207. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
