UTemp is the University of Toronto’s short-term staffing service.

Essential Work Activities:

 

1.  Program coordination, delivery, and logistics management:  

  • Operationalize scientific events, which includes, but is not limited to seminar series, research days or workshops
  • Ensure their smooth operation and ensure that all logistics and event details are implemented as planned 
  • Create event posters, programs, and agendas
  • Ensure that communications for event participants are clear and complete
  • Maintain event files, including documentation and correspondence
  • In consultation with the Manager, prepare, send, and log invitations to participants/invited speakers
  • Maintain accurate event budget information 
  • Receive and organize receipts for reimbursements. 
  • Monitor receipts and records for compliance with reimbursements and other guidelines 
  • As instructed by the Manager, prepare and distribute event promotional materials
  • Identify pertinent information for clear, concise, accurate and professional announcements/communication
  • Other duties as assigned by the Manager  

2. Information management and organization: 

  • Coordinate maintenance of CANSSI Ontario-managed websites
  • Produce, edit, update, and post online content in content management and other systems  

3. Communication with members and relationship management with stakeholders: 

  • Communicate clearly and professionally with all at CANSSI Ontario, including staff, directorate, partners, participants, and other stakeholders 
  • Answer questions in a useful, helpful, collegial, and professional manner

4.  Other duties as assigned by the Manager 
 

Qualifications:

 

Experience:  

  • Two to three years' relevant work experience preferred
  • Experience in program/event planning and implementation preferred

Computing Skills:  

  • Windows and Mac Operating Systems experience is preferred
  • Demonstrated proficiency in Word, Excel, and Outlook.  
  • Experience using InDesign and/or working knowledge of Photoshop
  • Experience with Adobe Creative Suite products is preferred
  • Premiere Pro would be an asset
  • Willingness to learn other computer programs as needed

Other: 

  • Superb oral and written communication skills, including distilling high-level scientific research into concise and engaging content
  • Editing skills
  • Experience in event planning an asset
  • Strong personal accountability and ability to take initiative

  • Ability to work well under pressure
  • Efficient time management skills, practices, and habits
  • Ability to multi-task

Contract length:

  • Start date: January 27, 2025
  • End date: April 4, 2025
