The Department of Medicine (DOM) is one of the largest in North America, with 830 full-time faculty members, 1,000 postgraduate trainees, and 20 specialty and sub-specialty divisions located across six fully-affiliated hospitals, four community-affiliated hospitals and more than a dozen additional clinical practice sites. We are a powerhouse of medical research, with more than $162- million in annual research funding. This research generates new knowledge with the goal of meaningfully impacting internal medicine training and the care and health outcomes of patients and their families.

As Project Coordinator, Community Expansion you will lead the development, implementation and evaluation of the Department of Medicine's medical education program expansion to community sites. Working closely with the Program Directors and the Vice Chair Education, your demonstrated initiative and problem solving skills are key to creating and sustaining a responsive and positive environment for our residents. Your outstanding organizational and communication skills will enable you to collaborate with faculty and residents to successfully navigate multiple time-sensitive deadlines in a dynamic work environment.

Your responsibilities will include:

 

  • Identifying best practices and standardising common processes across the Department relating to residency training, including Academic Half Days, Journal Clubs, and related education development activities
  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Analyzing processes and recommending changes for more efficient coordination of operations
  • Implementing project plans, including verifiying accuracy of the project documentation and fact-checking content, and verifying that project approvals are received
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Executing assigned tasks according to project plans
  • Informing senior staff of impending deadlines and setbacks or concerns, resolving issues within scope of the role and escalating problems as required
  • Conducting information sessions for programs undergoing reviews, and keeping senior faculty and the Manager, Academic Programs apprised on progress

 

Essential Qualifications:

 

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum 5 years' of relevant administration experience in a university or equivalent environment such as a teaching hospital
  • Experience coordinating postgraduate residency training programs; interpreting and applying policies and procedures, particularly from the Postgraduate Medical Education Office (PGME) and the Royal College of Physicians and Surgeons of Canada (RCPSC)
  • Experience with the Temerty Faculty of Medicine residency and medical education curriculum processes
  • Demonstrated project coordination experience in an academic environment is required, including developing, tracking, implementing and evaluating project plans
  • Experience analyzing and assessing data and processes and making recommendations for improvements
  • Experience working with and supporting committees
  • Experience conducting surveys and managing and analyzing data
  • Advanced proficiency in MS Office Suite, POWER, survey tools, learning management systems and content management systems
  • Excellent interpersonal and communication skills (written and verbal)
  • Demonstrated ability to communicate complicated regulatory guidelines effectively to faculty and staff at various levels
  • Exceptional organizational skills and flexibility in adjusting to changing circumstances
  • Ability to manage multifaceted, concurrent projects and tasks
  • Demonstrated ability to analyze, problem solve and exercise independent judgment based on sound principles
  • Ability to work collaboratively in a team environmentto achieve department goals
  • Demonstrated initiative and creativity
