About us:

The Communications team of University Admissions and Outreach (UAO), in the Division of the Vice-Provost for Strategic Enrolment Management (VP-SEM), is responsible for marketing and communications of all direct entry undergraduate programs at the University to prospective students and applicants. Communications works in close collaboration with the UAO teams in Recruitment, Outreach, and Admissions, as well as the University Registrar’s Office, and divisional and campus partners. Within the UAO’s context, the Communications team is responsible for inbound and outbound marketing, internal communications, coordinating tri-campus messaging, creating content, updating websites and resources, developing marketing collateral, as well as acting as a resource for divisional/campus communications, admissions, and recruitment teams.

Your opportunity:

Under the general direction of the Assistant Director, Recruitment and Admissions Communications, and working closely with divisional recruitment staff, the Recruitment Officer, Communications & Relationship Management manages the constituent relationship management (CRM) system for student recruitment to assist theUniversity and Divisions in meeting enrolment targets.

The incumbent will work with divisional representatives to help develop and execute targeted central communication plans for prospective students, families, counsellors and applicants, and to coordinate and support divisional recruitment communication plans. Related duties include system setup and maintenance, vendor liaison, development of communication templates and web pages, developing of frequently asked questions and responses, training and supporting divisional representatives, identifying potential communications plan conflicts, assigning queued work for response, and managing customized prospect and applicant portal information. The position involves working closely with staff in the Office of Student Recruitment as well as divisional recruitment teams and staff. The incumbent will also participate in other student recruitment activities such as monitoring social media sites and responding to queries or assisting with on-campus and off-campus events.

Your responsibilities will include:

 

  • Conducting detailed data analysis to inform recruitment strategies and plans.
  • Developing content for marketing and/or promotional materials; producing promotional and outreach materials.
  • Implementing communication plans that support outreach goals and objectives.
  • Fostering and maintaining a network of external contacts to support recruitment strategies.
  • Determining appropriate schools to visit based on an analysis of feedback and market trends.
  • Advising potential applicants, students, parents, and/or guidance counselors on admissions criteria and processes by probing and providing a range of options and possible consequences.
  • Keeping well-informed on University programs, policies and procedures.
  • Serving as a resource on specific issues to a group of specialists; providing formal job-related training.

 

Essential Qualifications:

 

  • Bachelor’s degree in a related field required (e.g. Marketing, Communications), or equivalent combination of education and experience.
  • Minimum four (4) years related experience, preferably in a student recruitment and/or admissions environment within a large post-secondary institution.
  • Experience and knowledge of marketing through constituent relationship management (CRM) systems.
  • Experience with writing for the web and content development in a marketing environment, data collection and manipulation, and online communication strategies required.
  • Experience with online marketing, including search engine optimization, search engine & social media marketing, and email marketing.
  • Experience preparing reports and making recommendations for inclusion in strategic documents.
  • Record of strong customer service orientation, tact, diplomacy and attention to detail.
  • Demonstrated oral and written communication, interpersonal and presentation skills.
  • Excellent computer skills, including in-depth knowledge of and extensive experience with Word, Excel, PowerPoint, database software, HTML, CSS, e-mail template development, Content Management Systems, data manipulation and report generation.
  • Well-developed project management and problem-solving skills.
  • Facility with statistical data and producing reports.
  • Initiative; tact in dealing with people at all levels and with people of varied cultural backgrounds.
  • Demonstratedorganizational ability.
  • Ability to manage conflicting priorities and deadlines.


Assets (Nonessential):

 

  • Experience in a student recruitment and/or admissions environment within a large post-secondary institution.
  • Preference for applicants with experience using Technolutions Slate.
  • Familiarity with issues and trends in student recruitment and communications preferred.
