The Faculty of Law is one of the oldest professional faculties at the University of Toronto. Today, it is one of the world's great law schools. The Faculty of Law is housed in the elegant, state-of-the-art Jackman Law Building, alongside two historic buildings, Flavelle House and Falconer Hall, on the St. George Campus in downtown Toronto.


Your opportunity:

Downtown Legal Services (DLS), is both a community legal clinic and a clinical education program, operated by the Faculty of Law at the University of Toronto. Our services are provided by law students, who work under the close supervision of our expert staff lawyers. Approximately 140 law students work at the clinic every year, enabling us to serve over two thousand low-income people in the areas of housing, employment family, criminal, refugeeand immigration law.

Reporting to the Director, DLS, the Student and Administrative Services Coordinator - Downtown Legal Services acts as the first point of contact for DLS enquiries, providing information and resolving issues for law students,clients and the public. The incumbent provides support to the Director and Supervising Lawyers to assist in delivering high quality clinical legal education program to Faculty of Law students.



Your responsibilities will include:

  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Determining logistical details and activities for events and/or programming
  • Collaborating on cost estimate and making minor purchases
  • Obtaining required authorizations and signatures to process financial documents and liaise with finance office to ensure processing
  • Updating, maintaining, collating and organizing records and data
  • Scanning, filing and copying documents
  • Writing routine documents and correspondence
  • Communicating program-related information

 

Essential Qualifications:

 

  • College Diploma (2 years) or acceptable combination of equivalent experience.
  • Minimum two years of related experience in general office administration.
  • Demonstrated experience acting as the first point of contact, screening inquiries, and writing and editing routine documents/correspondence.
  • Experience coordinating meeting schedules, agendas, materials, action and follow-up items.
  • Experience supporting basic financial duties such as cost estimates and minor purchases.
  • Experience with record management such as scanning, filing and copying documents.
  • Experience handling sensitive and/or confidential information.
  • Experience collating and organizing data for various reports.
  • Excellent computer proficiency including Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook).
  • Excellent communication skills, written and verbal, including editing and proofreading.
  • Proven ability to exhibit the highest standards of professional ethics, including confidentiality and integrity.
  • Strong organizational and time management skills.
  • Ability to effectively manage competing deadlines and priorities.


Assets (Nonessential):

 

  • Experience coordinating and organizing events and/or programming.
  • Experience with booking rooms and arranging appropriate accommodations.
