The Department of Computer and Mathematical Sciences comprises Computer Science, Mathematics, and Statistics. All three disciplines play fundamental roles in science, engineering, and many other areas of academic inquiry and technological innovation. The department offers programs that specialize on a wide range of topics, such as Software Engineering, Machine Learning and Data Mining, Quantitative Finance, Mathematics, and Applied Statistics.

Your opportunity:

We are recruiting for an Undergraduate Assistant who will report to the Business Officer. You will provide administrative support to the faculty and students. You will act as the first point of contact for general inquiries. Faculty will require your assistance with the hiring logistics and the drafting of templated correspondence related to TA (Teacher Assistant). Students will rely on you for the most up to date program and/or course requirements information. The department will look to you to resolve room booking or timetabling conflict. You will also help coordinate program activities and maintain information on digital platforms. The efficient functioning of your position is essential to the department's administrative office. Your service will enhance the learning experience of students in the exciting, and intriguing field of Computer and Mathematical Sciences.

Your responsibilities will include:

  • Providing detailed information to students on program and/or course requirements
  • Liaising with students and faculty to coordinate program activities
  • Troubleshooting timetable and/or room booking conflicts
  • Receiving and passing on evaluation materials for review
  • Maintaining information on student information systems
  • Writing routine documents and correspondence
  • Updating and maintaining records
  • Collating and organizing data for various reports

 

Essential Qualifications:

  • Advanced College Diploma (3 years) in Business Administration or acceptable combination of equivalent education and experience
  • Minimum of two years of directly related and demonstrated experience providing student support to undergraduate/graduate programs.
  • Knowledge and experience interpreting policies, procedures and collective agreements
  • Must be proficient in MS Excel, MS Word, and MS Outlook
  • Demonstrate ability to work with fine details and have an aptitude for working with numbers
  • Demonstrate ability to work under time constraints, workload pressures; manage conflicting priorities and deadlines despite regular interruptions
  • Well-developed interpersonal, communication and organizational skills
  • Must be tactful and professional when dealing with Faculty, Students, Administrative Staff and the public
  • Demonstrate initiative and be able to work effectively, efficiently, and independently
  • Demonstrate ability to contribute as a value-added member within a larger team
  • Applicants are also expected to show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.


Assets (Nonessential):

  • Experience with ROSI EXPRESS; ROSI/ACORN; CUPE 3902 Unit 1 and 3 collective agreements is a highly valued asset.
  • Experience with Degree Explorer, the Intranet, TA job Posting Application Systems, Timetable Scheduler, and Online Calendar would be strong assets.
