Reporting to the Department Manager, the Undergraduate Assistant will work closely with the Undergraduate Administrator to provide administrative and program support for the Department of Psychology’s Undergraduate Program. The Undergraduate Assistant acts as the first point of contact for general enquiries, provides information about undergraduate program and course eligibilities and requirements; receiving and passing applications, checking completeness of applications and course prerequisites prior to student enrollment, coordinating examination timetables, booking rooms, maintaining course information on student information systems.
The Undergraduate Assistant coordinates deferred exams paperwork as well as, schedules Teaching Assistants (TAs) for scanning multiple choice tests and exams and training TAs to scan and acting as resource for them during process. The Undergraduate Assistant supports logistical activities for a variety of undergraduate events and programs, such as Fall Campus Day, Program Exploration Days, recruitment events, and outreach events. The Undergraduate Assistant provides administrative assistance in coordination of the PSY100 course.
Your responsibilities will include:
- Providing detailed information to students on program and/or course requirements
- Acting as the first point of contact for general enquiries
- Receiving and passing on application documents for review
- Collecting and passing on submissions for award competition
- Checking the completeness of applications
- Handling sensitive and/or confidential information
- Updating and maintaining records
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum two (2) years' relevant experience in a post-secondary environment, providing administrative support to undergraduate student services or program administration.
- Demonstrated experience providing front-line student support and detailed information on programs, course requirements and other related information.
- Experience providing administrative support to undergraduate programs, including processing student data, preparing reports, coordinating room assignments, and maintaining files and records.
- Strong proficiency in Microsoft Office (e.g. Word, Excel, PowerPoint), OneDrive, and SharePoint.
- Effective problem-solving and decision-making abilities.
- Superior customer service and interpersonal skills, with a demonstrated positive attitude and service orientation towards students, staff, and the general public.
- Ability to manage multiple and competing priorities successfully.
- Ability to demonstrate sound judgement in dealing with confidential information and a keen sensitivity to personal student issues.
Assets (Nonessential):
- Experience using Student Information Systems, including ROSI is preferred.

Pay Scale Group & Hiring Zone:
USW Pay Band 08 -- $62,832. with an annual step progression to a maximum of $80,351. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
