The Department of Anthropology examines the unity and diversity of humanity, human culture and society from a comparative and global perspective. Your opportunity:

Reporting to the Department Manager and with the day-to-day guidance of the Undergraduate and Graduate Administrators, the incumbent provides administrative support for the Undergraduate and Graduate Offices and back-up support for the front desk.

Undergraduate Office duties include: responding to student inquiries; assisting with administration of undergraduate programs including coordinating field courses, awards, student listservs and room allocations; assisting in updating information on undergraduate program web pages; assisting at recruitment events; assisting with general administrative duties, and assisting with special projects.

Graduate Office duties include: providing information regarding the graduate program; sending out information to students and faculty; assisting with graduate admission application processing; setting up graduate exams; administering graduate scholarships and awards; assisting at recruitment events; general administrative duties including preparing letters, forms, spreadsheets, posting information, obtaining signatures, and filing.

Your responsibilities will include:

 

  • Acting as the first point of contact for general enquiries
  • Providing detailed information on eligibility requirements, procedures and deadlines
  • Checking completeness of applications
  • Obtaining course information and materials from instructors
  • Liaising with stakeholders to coordinate space and resource requirements
  • Providing routine information on programs and events
  • Updating and maintaining records

 

Essential Qualifications:

 

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years recent and related experience in a post-secondary environment providing detailed academic and other information to students, faculty, and visitors/guests.
  • Experience providing administration for undergraduate and/or graduate programs.
  • Experience providing administrative support to the graduate admissions process.
  • Experience coordinating logistics of meetings and events.
  • Demonstrated experience with student information systems (e.g. ROSI, ROSI Express, Degree Explorer).
  • Experience updating documents and brochures.
  • Experience with CUPE Local 3902 Unit 1, undergraduate and graduate program procedures.
  • Intermediate skills in Microsoft Office (e.g. Word, Excel, Power Point).
  • Demonstrated skills with web page editing (e.g. CMS, WordPress, Drupal).
  • Excellent problem-solving, organizational and time-management skills.
