The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which plays a criticalrole in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $53.3 million in research funding per year, the School contributes to improving population health and health policy and health systems through discoveries and innovation in data science and AI, maternal, child and reproductive health, climate change, implementation and improvement sciences, preventable disease through vaccines and prevention through wellness such as with diabetes, comparative health policy, sustainable and equitable health systems, global andIndigenous health, among many other areas. This past year, $10 million philanthropic dollars was raised for research, education and knowledge translation, and the over 7000 alumni were deeply engaged through events and networking opportunities.

As the Graduate Program Assistant, you will support the delivery of academic programs by serving as the first point of contact for students, applicants, and faculty, and advise current and prospective students for the Masters and Executive Masters of Health Informatics programs on requirements and admissions. You will also coordinate program activities, events, and meetings while liaising with internal and external stakeholders. Additionally, you will support admissions processes, maintain accurate records, coordinate instructional staffing, and prepare program communications and materials. Your enthusiasm, experience providing advice to professional masters students, superior organizational skills and attention to detail will contribute to the success of our graduate program.


Your responsibilities will include:

  • Serving as the first point of contact for general inquiries from students, applicants, and faculty
  • Providing accurate and detailed information on programs, course requirements, and admissions processes
  • Advising students on program and/or course requirements by probing andproviding a range of options and possible consequences
  • Coordinating program activities by liaising with students, faculty, and internal and external stakeholders
  • Planning and executing seminars, workshops, and other program events, including logistics
  • Coordinating the recruitment and onboarding of teaching assistants, course instructors, and sessional lecturers
  • Reviewing and assessing admissions applications, ensuring accurate documentation and record-keeping
  • Maintaining and updating databases and student records to ensure data accuracy and integrity

 

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two years of related experience providing administrative support, preferably within a post-secondary or university environment
  • Demonstrated experience coordinating academic programs, including providing detailed information to students on program requirements, reviewing applications, monitoring student progress and coordinating evaluations
  • Demonstrated experience advisingprofessional masters students on program and course requirements
  • Experience coordinating recruitment and onboarding of teaching assistants, course instructors, and sessional lecturers
  • Experience planning and determining logistical detailsand activities for events such as seminars or workshops
  • Experience providing support to graduate students
  • Demonstrated experience maintaining information on digital platforms
  • Demonstrated knowledge of the University with emphasison the School of Graduate Studies academic policies and procedures
  • Demonstrated advanced working knowledge of a wide variety of software, including MS Office, MS Excel, MS Word, ACORN/ROSI, Quercus, SLATE, SGS online application system
  • Strong written and verbal communication skills with experience editing content brochures, newsletters, websites and/or handbooks
  • Excellent time management, prioritization and organizational skills, with the ability to be an effective team player
  • Excellent interpersonal and communication skills (verbal and written) with a strong customer focus
  • Strong initiative, proactive and highly resourceful
  • Demonstrated ability to learn quickly and independently
  • Ability to identifyproblems and recommend appropriate solutions
  • Proven ability to work independently and effectively manage high volumes and varied duties with competing deadlines
  • Attention to detail and accuracy is essential
  • Sensitivity to diversity and excellent judgment on confidential issues
