The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. As Program Assistant, you will be a collaborative team player supporting the day-to-day operations and administrative functions of IHPME Programs in particular the Clinical Epidemiology and Health Care Research (CEHCR) . You will provide a broad range of services and support to staff, faculty and students including serving as the primary contact for all departmental enquiries. Your solid communication and proven organizational skills will contribute to the successful operation of the academic department.


As Program Assistant, you will be a collaborative team player supporting the day-to-day operations and administrative functions of the Clinical Epidemiology and Health Informatics graduate programs. You will provide a broad range of services and support to staff, faculty and students including serving as the primary contact for all departmental enquiries. Your solid communication and proven organizational skills will contribute to the successful operation of the academic department.



Your responsibilities will include:

  • Acting as the first point of contact for all general enquiries including providing detailed information to students on program and/or course requirement
  • Liaising with students and faculty to coordinate program activities
  • Tracking and reporting on practicum pipeline and placement
  • Assisting with the communication and dissemination of evaluation materials to preceptors and students
  • Determining logistical details and activities for meetings, events and/or programming, including booking rooms and arranging accommodations
  • Responsible for coordinating internal IHPME rooms and LSM bookings for all IHPME programs
  • Scheduling meetings with Program Director, CEHCR faculty and students
  • Scheduling chairs for doctoral exams

 

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years experience in an administrative position, preferably in an educational environment.
  • Experience providing front-line customer service
  • Experience working with and supporting committees
  • Experience working with database management and generating reports
  • Excellent working knowledge of computer software, including Windows 7, Microsoft Office (Word, Excel, Access, Outlook, PowerPoint), Internet Explorer, Adobe Acrobat & Connect, ROSI, Quercus and Content Management Systems.
  • Solid organizational and problem solving skills
  • Excellent interpersonal and communication (oral and written) skills
  • Ability to exercise tact, diplomacy and good judgement when dealing with staff, faculty and students


Assets (Nonessential):

  • Advanced skills in Microsoft Office Suite and previous experience using Access
  • Knowledge of the University of Toronto and School of Graduate Studies (SGS) policies and procedures
